Office Coordinator

This is a full-time position offering a competitive salary and benefits working with a great team dedicated to fulfilling the mission of Skidaway Island United Methodist Church.


The office hours are Monday through Thursday, 9:00 to 5:00 with occasional after-hours or weekend duties. The Office Coordinator assists the Senior Minister in administering the business operations and other activities of the church. This position also works in cooperation with the Church’s congregation, the Communications Coordinator, and the program staff.


Education: High school or equivalent, some college preferred


Training: Church office administration


Experience: 3 years church administration preferred


Licenses: Valid Georgia Driver’s License with personal vehicle liability insurance


Skills: Basic computer, telephone, and office machines


References: Two (2)


Supervisor: Senior Pastor



• Excellent writing skills

• Knowledge of Microsoft Office programs

• Knowledge of website maintenance and mass email program

• Good organizational skills


Performance Expectations:

• Be a welcoming, friendly, and helpful face for all who enter the office.

• Share the following duties with the Communications Coordinator:


• Take care of questions, requests, phone calls, and emails

• Schedule  church and non-church calendar

• Update church calendar and keep it current

• Inventory and order office supplies,

kitchen paper products, and custodial supplies

• Assist committee chairs’ requests for

clerical assistance and supplies

• Maintain office equipment and call for service when needed

• Attend weekly staff meetings

• Prepare all church correspondence as assigned by the Senior Pastor, including letters of transfer of membership

• Prepare new member correspondence (there is a checklist)

• Order name tags

• Order approved pre-printed supplies when needed, including flower cards, memorial cards, pledge cards, envelopes, letterhead, etc.

• Assist with monthly newsletter mailing

• Manage membership data (input/removal)

• Assist Head Usher(s) in recruiting ushers and

greeters for Sunday services

• Count the church offerings each Monday

• Make the weekly bank deposit at Synovus in the Village

• Manage the church safe deposit box

• Fill out weekly check requisitions for all bills, reimbursements

• Call in check-signers and compile checks for mailing

Keep filing up to date in the financial office

• Manage office petty cash box

• Be the Liaison to the Trustees for issues with the heating and air conditioning system, plumbing, kitchen, lighting, cleaning, utilities, needed maintenance, and other physical plant matters

Schedule the I-VU system that controls the

HVAC system in the sanctuary

• Schedule custodial services

• Check the defibrillator weekly and order parts if necessary

• Serve as recording secretary for the Administrative Board,

take and distribute minutes

• Fill out monthly Discipleship Report


• Compile yearly Charge Conference Report


• Assist with yearly Statistical Reports


• Keep all records of niches in the Memorial Garden


• Process sales of niches in the Memorial Garden


• Open and close niches for funerals


• Transport niche doors for engraving to and

from DePue Monument Company


• Assist the congregation with arrangements for

funerals, weddings, meetings etc.


• Help families with funeral planning


• Prepare and print funeral service bulletins


• Manage with the Communications Coordinator requests for secure access to the church property now in transition from tracking keys to Church property and maintaining a “key record” to the documentation required by the new secure access system and programing key fobs.


• Keep things running smoothly, keep things organized


• Be a team player and perform any tasks, not outlined above, which may be assigned or otherwise arise during office hours.

3 HVAC systems throughout the church have bipolar ionization systems added to destroy virus and bacteria particles.
